Contract Type: Fixed Term, Full Time (8mo, until approximately Dec 19, 2025)

Job Summary
The PD Registration Coordinator is responsible for managing registrations and providing customer care for various PD seminars, including processing registrations, cancellations, refunds, and waitlist maintenance, as well as responding to all customer inquiries. The Registration Coordinator will also provide occasional administrative support for both in-person and live virtual PD seminars. The Registration Coordinator is also crucial in our quality assurance process by ensuring that seminar evaluations are disseminated and summarized accurately and in a timely manner.
Key Responsibilities:
Registration and Customer Care
- Processes seminar registrations and PD passport purchases; including credit card payments; cancellations; transfers; and refunds
- Monitors and responds to customer inquiries via email and phone
- Communicates with registrants regarding course changes or cancellations
- Tracks Waitlist dashboard and communicates with waitlisted individuals on available spaces
- Follows up on registration or transaction-related issues to ensure resolution
- Keeps clear records of credits and refunds
Program Delivery and Quality Assurance
Seminar Coordination
- Prepares and ships materials for in-person seminars
- Returns to venue to pack up any items belonging to CPABC at the end of the seminar
- Hosts live webinars by setting up Zoom meetings, creating polls, and reviewing requirements, providing Zoom training for instructors as needed
- Monitors live webinars by making housekeeping announcements, introducing instructors, tracking attendance, launching polls, and assisting instructors and attendees as needed
- Provides on-site administration support at in-person seminars hosted at CPABC office, including registration setup, AV setup, and attendee check-in
Seminar Evaluations
- Prepares seminar evaluations for seminars via Survey Monkey
- Consolidates and reviews completed evaluations for data integrity in a timely manner in preparation of further review by PD management team.
- Prepares and sends seminar evaluation summary report to instructors
- Compiles annual seminar evaluation reports
- Collaborates with Data Analytics and IT teams on issues, and improvements related to the collection of seminar evaluation data
Seminar Material Editing and Video Editing
- Review, proofread, and format seminar materials to ensure prescribed quality standards are met
- Finalizes seminar materials for distribution and coordinates reviews
- Prints and ships seminar material binders to instructors as needed
- Edits recordings of live webinars using Camtasia to produce on-demand seminars
Department Administration, Inventory Management and Other Duties
- Maintains Xerox document production systems, coordinating service calls as needed
- Manage and oversee department AV equipment (e.g. projectors and laptops), tracking AV equipment usage and coordinating with IT team on necessary repairs
- Performs routine inventory counts and orders necessary supplies
- Maintains cleanliness and organization of the print room and storage areas
- Prepares and sends program completion certificates for seminar attendees in Certificate Programs
- Assists entering on-demand courses in iMIS and coordinate with the Operations Administrator to have them published on the LMS
And other duties and responsibilities, as assigned from time to time.
Key Requirements:
Knowledge and Experience
- Post-Secondary qualification in a related discipline, or equivalent experience;
- One (1) year of experience in Office Administration, Administrative Support, or equivalent experience;
Demonstrated Skills and Abilities
- Strong interpersonal, communication and presentation skills, both verbally and written;
- Intermediate proficiency with MS Office, in particular MS Word, PowerPoint and Adobe PDF;
- Ability to work collaboratively as a key member of a team and independently with minimum supervision;
- Exceptional attention to detail, organizational, time management and multi-tasking skills;
- Strong analytical skills with the ability to deal with sensitive and complex information;
- Ability to manage multiple priorities and deadlines in a fast-paced environment;
Preferred Knowledge, Experience, Skills and Abilities
- Proficiency with Camtasia or other video editing software;
The starting annual salary for this position is between $41,400.00 and 49,150.00 per annum, based on candidates’ qualifications, experience, and internal parity. Exceptions may be considered with further review.
