Reports To: Associate Director, Member and Community Events
Contract Type: Fixed Term, Part Time (~20 hours per week) (12mo contract)

Job Summary
Reporting to the Associate Director, Member and Community Events, the Administrative Coordinator (Events) will primarily support member and community events hosted by CPABC staff and Chapter events hosted by CPA volunteers. This role focuses on coordination, tracking, communications, and logistical support to ensure smooth delivery of events across the province. A key component of this role is working collaboratively within the Member and Community Events team, as well as cross‑departmentally, to ensure consistent, high-quality event delivery and strong internal alignment.
Key Responsibilities:
Chapter Program Coordination
Provide coordination support for CPABC Chapter events, including:
Updating, tracking, and maintaining event information
Setting up event registration in Pheedloop and on Chapter web pages
Creating post-event surveys in SurveyMonkey
Preparing and arranging promotional communications
Drafting event recaps for Chapter web pages
Support the collection and tracking of confidentiality pledges from Chapter volunteers
Coordinate the packaging and delivery of swag and materials to Chapter regions across the province
Liaise with internal teams, Chapter volunteers, and the broader Member and Community Events team to support program execution, timelines, and consistent member experience
Participate actively in team meetings, planning discussions, and collaborative workflows to support the overall Member and Community Events portfolio.
CPABC Event Support
Provide coordination support for CPABC flagship events as needed, including:
Assisting with event and registration setup
Managing registrations and providing basic registration reports
Coordinating speaker, exhibitor, or sponsor materials when required
Supporting on-site logistics on an as-needed basis
Attend occasional member-facing events to assist with registration desk support or related duties
And other duties and responsibilities as may be assigned.
Key Requirements:
Knowledge and Experience
Two (2) to three (3) years of experience in Office Administration, Administrative Support, or equivalent experience;
Demonstrated Skills and Abilities
Intermediate proficiency with MS Office, in particular MS Word, PowerPoint and Adobe PDF;
Strong communication skills, both verbally and written;
Excellent interpersonal and customer service skills with the ability to build rapport quickly;
Ability to work collaboratively as a key member of a team and independently with minimum supervision;
Exceptional attention to detail, organizational and time management skills and the ability to multi-task;
·Strong analytical skills with the ability to deal with sensitive and complex information;
Ability to manage multiple priorities and deadlines in a fast-paced environment;
Preferred Knowledge, Experience, Skills and Abilities
Experience with event planning is an asset but not required;
Experience with SurveyMonkey and event registration systems (Pheedloop) is an asset but not required;
Basic knowledge of web content management or HTML (Kentico preferred) is an asset.
The starting hourly rate for this position is between $21.50 and 25.75 per hour, based on candidates’ qualifications, experience, and internal parity. Exceptions may be considered with further review.
